Set Up Your Organisation

Step-by-Step: Your First 5 Minutes

  1. Sign up at firstaidlog.com with your email. Confirm via the verification email.
  2. Create an organisation — enter your workplace name, ABN (optional), and address. The state auto-detects your WHS jurisdiction.
  3. Browse templates — go to Template Marketplace, pick a category (e.g. Workplace), and tap "Import" on a kit that matches yours.
  4. Set expiry dates — tap each item to enter its expiry date. The app will alert you 30 days before expiry.
  5. Print a QR label — open the kit, tap "Label", and print. Stick it on or near the physical kit for quick scanning.
Tip: Not sure which template? Start with "Generic — Workplace Kit (Low Risk)" — it covers the minimum WHS requirements for most offices.

Step-by-Step: Performing an Inspection

  1. Navigate to Inspections — select the organisation and kit you want to inspect.
  2. Check each item — tap to cycle: unchecked → pass → fail. Expand any item to adjust quantities or add notes.
  3. Complete environment checks — verify kit cleanliness, location accessibility, signage, container integrity, and incident register presence.
  4. Submit — enter the inspector name and submit. Generate a PDF certificate or email the report.
Tip: Set inspection frequency to "Every 3 Months" for most kits — this aligns with Safe Work Australia's recommended quarterly inspection cycle.

  • 80–100% — Compliant. Keep inspecting regularly to maintain this.
  • 60–79% — Partially compliant. Address flagged gaps as soon as possible.
  • Below 60% — Non-compliant. Immediate action required.

Step-by-Step: Adding Items to a Kit

  1. Open a kit — tap the kit card from your dashboard.
  2. Tap "Add Item" — enter item name, category, quantity, and expiry date.
  3. Set minimum quantity — the app will flag this item when stock drops below this number.
  4. Save — the item appears in your kit's inventory with expiry tracking active.
Tip: Use the "Bulk Add" option to add multiple items at once from a template. This is faster than adding items one by one.

  1. Open any kit and tap the "Label" button.
  2. Customise — add your organisation logo, kit name, and location. Choose label size.
  3. Print — use your browser's print dialog or save as PDF for later printing.
  4. Attach — stick the label on the kit, cabinet, or wall near the equipment.
Tip: Laminate your QR labels or use waterproof sticker paper for kits in outdoor or wet environments.

🚨 Incident Reporting

Record workplace incidents with date, time, location, patient details, injury description, and treatment provided. Items used are auto-deducted from inventory.

Step-by-Step: Reporting an Incident

  1. From a kit detail page, tap "Report" — or go to Incidents → New Incident.
  2. Fill in details — date, time, location, patient details, and injury description.
  3. Record treatment — describe what was done and select items used from the kit.
  4. Add witnesses — document witness names and statements if applicable.
  5. Submit — the report is saved to your organisation's incident register. Download as CSV for regulatory submissions.

Step-by-Step: Inviting Team Members

  1. Go to Organisation Members from your organisation settings.
  2. Tap "Invite" — enter their email address and select a role.
  3. They accept — the invitee receives an email with a link to join your organisation.
  4. Manage access — change roles, assign inspection duties, or remove members at any time.
Tip: Assign a first aider as "Inspection Assignee" so they can perform inspections without needing the full Inspector role.

Browse the public directory to find qualified first aid kit inspectors in your state. Filter by location and view certifications.

Get Listed

Inspectors can opt in to the public directory from their profile. Add your company, states covered, certifications, and a short bio. It's free.

For Inspectors: Getting Listed

  1. Create an account and set your role to Inspector.
  2. Go to Profile and toggle "List me in the directory".
  3. Fill in details — company name, states you cover, certifications, and a short bio (300 characters max).
  4. Save — your listing goes live on the Inspector Directory immediately.
Tip: A complete profile with certifications and a clear bio gets significantly more contact requests.

Step-by-Step: Connecting Xero

  1. Go to Settings → Integrations in the app.
  2. Tap "Connect Xero" — you'll be redirected to Xero's login page.
  3. Authorise — grant FirstAidLog access to create draft invoices.
  4. Done — when you restock items, you can generate a draft Xero invoice with one tap.
Tip: Xero is live now. QuickBooks Online is marked as coming soon and will follow a similar OAuth-based connection flow when released.
